How can you increase your personal organization in a short period of time?
All company executives agree on one thing: they are completely overwhelmed by the amount of work they have to do, which includes team management, site monitoring, client visits, quotations and bills, and administrative responsibilities. Here are some basic steps you may take to make things easier for yourself.
Begin by imposing your own rules.
Inform any sales representatives who show up unexpectedly that you will no longer be able to accommodate them without an appointment. At the very least, make a half-day block in your calendar once a month to meet with all of your partners.
Make Room for the Important Things in Life.
Take a look at your calendar and set aside a few 1- to 2-hour sessions each week to make estimates, send invoices, track payments, and manage your cash.
Place these roadblocks at times when you are most likely to be able to adhere to their terms and conditions. If your site meetings are scheduled to begin at the same time every morning, set aside this time slot for these follow-ups and schedule the preparation of the estimates for the end of the day at the end of the week.
Make room in your calendar for the unpredictable.
There is no need to protect your diary for the whole week since you will not maintain it; leave vacant spots on purpose because you will fill them with unplanned activities or commercial visits.
During the day, organize regular duty.
If you are a diary fan, you may place blocks of various colors at different times of the week by selecting the "repeat every week" option on the menu bar. For example, blue represents quotations, orange represents bills, and green represents the monitoring of payments and cash flow, among other things.
Do not assign huge time slots if you are not certain that they will be honored.
You should be as hard on yourself as you are on your customers.
Take some time to consider how you might adjust your schedule to accommodate the realities of your activity. When you schedule time for yourself to work on a new project, you are effectively scheduling an appointment with yourself! Try to treat yourself with the same level of decency as you would a prospective customer.
Your frequent contacts will get used to it if you persist: they will phone you to schedule an appointment, and your staff will understand that you are in your accounts at that time and that it is not the appropriate time to call you. After some practice, you will be able to regain control of your time.

You take advantage of your friends and family members, and you are no longer subject to the commands of those in authority. As a result, you regain control over your schedule, and you gain good humor and availability for others as a result of doing so. When you are with your clients, you will be much more successful in the business arena since your consumers will view your availability as being greater.
